Managing Jobber Invoices by Chat: Send, Track, Close

Claude can move a Jobber invoice through its whole life: mark drafts as sent, track what's awaiting payment, chase what's overdue, record payments, and close the rest as paid or bad debt. Through your private connector, built on MCP, the invoice list stops being a screen you avoid and becomes a question you ask.

Every invoice you've ever written lived somewhere on this line:

  1. Draft
  2. Sent
  3. Awaiting payment
    Bad debt / Closed
  4. Paid

The trouble is never one invoice. It's forty of them, spread across every stage at once, and no time to walk the list. So here's the list, walked, by asking.

Get drafts out the door

Found work that was finished but never billed is only found money once it's actually sent. Claude turns the backlog into outbox:

Show me every draft invoice, oldest first, with the client and amount. Mark the ones under $2,000 as sent.

Bulk-clearing the small stuff is where a billing backlog dies. The bigger invoices you'll want to eyeball, so leave those and handle them by name. (This pairs with the uninvoiced work audit: that finds work to bill, this gets the bills out.)

Know who owes you, without the aging report

The single most useful invoice question, and the one least likely to get asked at a desk:

List every unpaid invoice over 30 days old. Client, amount, days overdue, and a phone number. Sort by how long they've been sitting.

That's your Monday call list, generated in one line. Want the message written too? “Draft a friendly payment reminder for each of the top five” and you're pasting, not composing. Claude finds them and drafts the nudge; the send stays yours, same principle as everywhere on this site.

Record the money as it lands

Payments recorded late are the reason your outstanding number lies. Log them the moment they hit:

The Hendersons paid their patio invoice, $8,450, by check today. Record it and mark the invoice paid.

Payment recorded, invoice closed, outstanding balance corrected in real time. Deposits and partials too: “record a $2,000 deposit against the Oakwood invoice” leaves the rest correctly showing as still owed.

Close the ones that won't pay

Not every invoice ends in payment, and pretending otherwise quietly inflates your receivables. When it's time to stop chasing:

Close the Delgado invoice as bad debt. It's been 180 days and they've stopped responding.

Marked as bad debt, out of your live receivables, off your call list. Honest books beat optimistic ones. And if a written-off client resurfaces, reopening is just as easy to ask for.

The whole board in one glance

Any morning you want the state of the union:

Give me the invoice picture: total outstanding, how much is overdue, what came in this week, and anything sitting in draft.

Four numbers that usually take four exports, in one answer. This is the question that makes revenue reporting feel less like a monthly event and more like something you just know.

Frequently asked questions

Does Claude actually send the invoice email to my client?

Claude moves the invoice to sent status in Jobber, which triggers Jobber's own delivery and client hub, the same system you use now. It also drafts payment reminders on request, but you send those. The AI handles the status and the paperwork; client-facing sends stay under your control.

Can it record partial payments and deposits?

Yes. Claude records deposits and partial payments and leaves the remaining balance showing as outstanding, so a half-paid invoice never reads as fully settled or fully unpaid.

What's the difference between closing an invoice as paid and as bad debt?

Paid means the money arrived. Bad debt means you've accepted it won't, and you're removing it from live receivables so your outstanding total tells the truth. Claude can do either, and reverse either if circumstances change.

Can I see all invoices for one client at once?

Yes. "Show every invoice for the Henderson account with status and balance" returns that client's full billing history, handy before a renewal, a collections call, or a hard conversation.

Will this mess up my accounting sync?

Claude writes to Jobber the same way you would by hand, so anything Jobber syncs to your accounting tool continues to sync normally. It's not a separate ledger; it's the same records, edited by conversation.
